LedgerMate: Shared Ledger (“LedgerMate,” “the App,” “we,” “us,” or “our”) is a shared ledger application developed by Mohamed Najad. This Privacy Policy explains what information we collect, why we use it, how it may be shared, and the choices available to users.
By using LedgerMate, you acknowledge the practices described in this policy.
1. Information we collect
Account information
When you create an account, we collect your name, email address, securely hashed password, account creation time and relevant login information. Passwords are not stored as readable plain text.
Ledger and transaction information
LedgerMate stores information entered by users, which may include:
- Ledger names and descriptions
- Income and expense entries
- Original and converted amounts, currency codes and exchange rates
- Transaction dates, categories, payment methods, descriptions and reference numbers
- The member who spent or received money and the member who created, edited or deleted an entry
- Optional receipt images
- Activity and audit history relating to shared-ledger changes
LedgerMate is a record-keeping tool. It does not connect directly to a bank account, initiate payments, provide loans or offer professional financial advice.
Shared-ledger information
Information placed in a shared ledger is visible to authorized members of that ledger according to their role. This may include your name, email address, role, transactions attributed to you, entries created or edited by you, notes, categories and receipts. Only join or create ledgers with people or organizations you trust.
Invitation information
When a user creates an invitation, we may process the invited email address, ledger, proposed role, inviter, invitation token, status and expiry time.
Technical and security information
Our server may process IP address, user-agent information, login timestamps, authentication tokens, request timestamps, activity logs and error details needed to authenticate users, prevent abuse and maintain service reliability.
Offline cache
LedgerMate may store an encrypted, read-only copy of previously synchronized ledgers, transactions, summaries, categories, members, activity and currency information on the device. The local cache can be removed by signing out, clearing app data, uninstalling the App or clearing browser storage.
Receipt images
Receipt attachment is optional. LedgerMate uploads only the image selected by the user through the operating system’s image-selection interface. It does not intentionally scan the entire photo library.
2. How we use information
- Create, secure and manage user accounts
- Provide shared ledgers and transaction records
- Attribute entries to ledger members
- Calculate balances, summaries and statistics
- Convert transaction amounts into a ledger’s default currency
- Upload and display optional receipts
- Process invitations and membership roles
- Maintain audit history and read-only offline access
- Prevent unauthorized access, diagnose errors and respond to support requests
- Comply with applicable legal obligations
We do not use ledger information for lending, credit, insurance, employment or other eligibility decisions.
3. Currency conversion
LedgerMate may use the Frankfurter exchange-rate service to obtain current or historical rates. A request may contain the original currency code, target currency code and transaction date. LedgerMate does not intentionally send the user’s name, email, receipt, description or account credentials to the exchange-rate provider.
Exchange rates are provided for convenience and may differ from the rates used by banks, card networks or currency exchanges.
4. How information is shared
We do not sell or rent personal information.
Authorized ledger members
Information entered into a shared ledger is shared with its authorized members as a core function requested by users.
Service providers
Limited information may be processed by hosting, database, email, file-storage, security or currency-rate providers only as necessary to operate the service.
Legal and safety reasons
We may disclose information when reasonably necessary to comply with law, respond to a valid legal request, protect users or investigate fraud, abuse or security incidents.
Business transition
If LedgerMate or related assets are transferred or acquired, relevant information may be transferred subject to applicable law and continued protection.
5. Security
LedgerMate uses reasonable safeguards including HTTPS, password hashing, authentication tokens, role-based access controls, ledger membership checks, activity history, restricted server access and encrypted local caching where supported.
No online system can guarantee absolute security. Users are responsible for protecting passwords and devices, signing out on shared devices, inviting trusted members and avoiding unnecessary sensitive information.
6. Retention
We retain account and ledger information while needed to provide LedgerMate. After account deletion, authentication credentials and personal access are removed or disabled. Shared transactions and audit records may need to remain to preserve balances, integrity and records belonging to other members. Where reasonably possible, a deleted user’s identity may be anonymized.
Security, backup, fraud-prevention or legal records may remain for a limited period. Temporary backups are removed through normal backup rotation.
7. Account and data deletion
You may request account deletion through our public account deletion page or by emailing mail@najad.dev from the registered email address. The Play Store release will also provide a discoverable in-app deletion option.
Deleting the App from a device does not delete the server account.
8. Your choices
Subject to applicable law, you may request access, correction or deletion of eligible personal information, withdraw from a shared ledger, or ask about our data practices. Some requests may be limited where retention is needed for shared-record integrity, security, fraud prevention or legal obligations.
9. Children
LedgerMate is not specifically designed for children. A user must be legally capable of agreeing to the applicable terms or use the App with the permission and supervision of a parent or legal guardian.
10. Advertising and analytics
LedgerMate does not currently display third-party advertising and does not currently include third-party behavioral analytics. We do not sell ledger information to advertisers or data brokers. If these practices change, this policy and the App’s disclosures will be updated.
11. International processing
Information may be processed where our hosting and service providers operate. Data-protection rules may differ between locations, subject to applicable safeguards.
12. Changes to this policy
We may update this policy to reflect changes in the App, law or data practices. The revised version will be posted with an updated effective date.
